Everything Ceipty does, step by step.

1Getting started

Ceipty works in any browser and on Android, with the same account.

  1. Open the app and tap “Create an account”, or sign in with Google. On Android you can also tap “Continue without an account” to try it first — your data stays on the phone until you sign in.
  2. Open Settings and enter your business name, default currency and tax region (Hong Kong follows the April–March tax year).
  3. Open Invoices → Invoice settings and add your address, contact details and payment instructions (FPS ID or bank account). They are printed on every invoice and quote.
  4. Choose English or 繁體中文, and a theme, under Settings. Everything — including PDFs and reminders — follows the language you pick.

💡 Add several businesses as separate workspaces from Settings → Workspaces (free: 1, Pro: 3). Switch between them from the top of any screen.

2Receipts

Every receipt you scan, upload or type lives under Receipts.

  1. Tap the + button on Home or Receipts. Choose Scan Document (the camera finds the edges and captures for you), Scan Multi-page Invoice, Upload Photos, Upload Files, or Create Manually. Free accounts get 3 AI scans a week; typing a receipt in is always free.
  2. Check what the AI read — shop, date, items, total, tax and category — and correct anything. Changes teach Ceipty about that shop for next time.
  3. Use the search field for a shop or amount. Tap Filters for category, month, project, date range and sort order. Tap a tag to remove a filter.
  4. Use the chips under the search to see Unpaid, Paid, No file, Bank/Card, Recurring or Needs-review receipts.
  5. Duplicate warnings appear when the same receipt looks entered twice. Deleted receipts wait 30 days in Settings → Data → Trash.

3Match your card statement

Reconciliation pairs each card charge with its receipt and shows what is missing.

  1. Tap + → Bank reconciliation (or Reports → Reconcile).
  2. Import the statement as a PDF or a screenshot of your charges. Ceipty reads each line.
  3. Charges are matched to receipts automatically. Anything without a receipt is flagged so you can chase it or attach one.
  4. Foreign charges show ≈ until the statement gives the amount the bank really took; after matching they show the settled figure and your totals use it.

4Invoices

Bill customers from the Invoices tab. Free accounts can create 5 new invoices a month; Pro is unlimited. Invoices you have already made are never locked.

  1. Open Invoices and tap + New invoice (or the + button). Choose the customer — or add one on the spot.
  2. Add your items: name, description, quantity, price and tax %. Start typing a name and a matching saved service fills the line in. You can still edit the description and price on the invoice.
  3. Set the invoice date and payment terms (the due date follows), add a discount, and check the notes and footer.
  4. Tap Save & mark sent, or Save draft to finish later. Drafts do not count as owed.
  5. On the invoice page tap PDF / Share to send a clean PDF named after the invoice and customer.
  6. When money arrives tap Record payment — full or part. Choose the date and method (bank transfer, FPS, cash, cheque, card). The status updates itself: Unpaid, Partly paid, Overdue or Paid.
  7. For a late invoice tap Send reminder: a friendly message is ready for WhatsApp, email or SMS.
  8. Duplicate copies an invoice, Make recurring turns it into a schedule, and Void keeps a sent invoice on record without counting it as owed.

💡 The Overdue, Due in 30 days and Received cards at the top of the tab add everything up in your default currency.

5Services

A list of what you sell, so you never retype the same item.

  1. Open Invoices → Services and tap + New service. Enter the name, an optional description, the price and the tax %.
  2. Or save as you go: on an invoice line with a price, tap ☆ Save to services.
  3. On any invoice or quote, start typing a service name and tap the suggestion, or tap 🏷 From services.
  4. Edit the description or price on that invoice as much as you like — it is a copy. If you change a saved service’s price on an invoice, tap ↻ Update saved service to keep the list in step.
  5. Deleting a service never changes invoices already made.

6Quotes

Offer a price before the work, then turn it into an invoice.

  1. Open Invoices → Quotes and tap + New quote. Pick the customer, add items, and choose how long the quote stays valid.
  2. Save & mark sent, then share the PDF — it is headed QUOTE and shows “Valid until”.
  3. When the customer replies tap Accepted or Declined. Quotes past their date show as Expired.
  4. Tap Convert to invoice to create a draft invoice with the same customer and items. The quote is marked accepted and linked to it.

7Recurring invoices

For retainers, rent and subscriptions.

  1. Open Invoices → Recurring and tap + New recurring invoice (or tap Make recurring on an existing invoice).
  2. Choose the customer and items, how often it repeats (weekly, monthly, every 3 months, yearly) and the first date.
  3. Choose when it ends: never, after a number of invoices, or on a date. Set the payment terms.
  4. Choose whether each invoice is created as a draft for you to check, or straight away as sent.
  5. Ceipty creates each invoice on its date and tells you. If the phone was off for a while it catches up. Pause or resume any schedule from its page.

8Customers

Everyone you bill, with what they owe.

  1. Open Invoices → Customers and tap + New customer. Add the name, contact person, email, phone, billing address and currency.
  2. Tap a customer to see their balance, paid-to-date, invoices and quotes.
  3. Tap Statement to share a PDF of everything outstanding.
  4. Tap + Invoice or + Quote on their page to start a new document for them.

9Reports and profit & loss

See the month, the year and your profit.

  1. Open Reports to see a month’s receipts by category, with search, reconciled filters and a PDF or CSV export (optionally with every receipt image attached).
  2. Tap 📈 P&L for profit & loss: pick This month, Last month, Last 3 months, This financial year, Last financial year or Last 12 months.
  3. Income is money actually received on invoices; expenses are your receipts, converted to your default currency. Net profit is the difference.
  4. Scroll for expenses by category and income by customer, then export CSV or PDF.
  5. Tap 📑 Accountant for the year-end summary: totals, tax-deductible spend, an accountant CSV and a category-by-month worksheet.

10Teams and sharing

Give your accountant or colleagues access without sharing a password.

  1. Tap the workspace name at the top of any screen and choose Share on the workspace.
  2. Invite someone by email and choose what they can do: View only, Edit without delete, or Can edit.
  3. They see only the workspace you shared. Remove access any time.
  4. Ask AI (the button on Home) answers questions such as “what did we spend on software this quarter?” from your data on Pro.

11Your data

Backed up, recoverable and yours to take.

  1. Every workspace is backed up daily. Restore from Settings → Data → Backups.
  2. Deleted items stay 30 days in Settings → Data → Trash.
  3. Export receipts, reports, the accountant CSV and the P&L as CSV or PDF at any time.
  4. To delete your account: Settings → Data → ⚠️ Delete my account. See the delete-account page for details.
